Implementation proposal intake, review and approval process

The GPSC, through the A GP for Me Working Group, will accept proposals as they are submitted and review them monthly. Divisions submitting a proposal that appears to meet the assessment criteria by the intake period end date (see below table) will be invited (as capacity allows) to present at the next available GPSC meeting. Presentations will be scheduled during the afternoon of the second day of the two-day GPSC meeting and will be open to all GPSC and A GP for Me Working Group members. The GPSC estimates there may be sufficient time to schedule three to four presentations each month.

Depending on the volume of proposals, it may be necessary to move some divisions’ presentations to the following month’s meeting. Alternatively, if there is enough demand, the A GP for Me Working Group may arrange an extraordinary meeting to ensure all proposals are dealt with in a timely manner. A total of 30 minutes will be allotted for each division presenting: 15 minutes for the presentation and 15 minutes for follow-up questions and answers, and proposals will be scheduled for presentation on a first come, first served basis.

Questions and recommended answers related to Implementation proposal intake, review, approval, and funding

1. Should we write our Implementation funding proposal to cover 2014/15 or for the time ending March 2016; i.e., will we be required to write one proposal or two?

One proposal is to be submitted to encompass the entire Implementation plan period. A process for ongoing funding and proposal/project review, interim reporting to the GPSC, and related funding release requirements will be developed by the A GP for Me Working Group.

2. What if there are more than four divisions submitting their proposals during a particular month?

If there is a higher volume than can be dealt with at one meeting, some divisions may be deferred to the next month’s meeting. Alternatively, if there is enough demand, the A GP for Me Working Group may arrange an extraordinary meeting to ensure all proposals are dealt with in a timely manner.

3. Can Assessment and Planning funds be used to bridge the gap between the Assessment and Planning phase and the Implementation phase?

Yes. It is reasonable to use Assessment and Planning funds in this manner, and it is recommended that plans to do so be articulated in the Implementation funding proposal.

4. If we have not spent all of our Assessment and Planning funds, can we carry them over?

No, the Assessment and Planning funds cannot be carried over to be used during the Implementation phase (refer to question 3). However, Assessment and Planning funds may be used to bridge the gap between the Assessment and Planning phase and approval of an Implementation funding proposal.
